How to Use

  1. Enter your organization or group name and coordinator name — these appear at the top of the printed log.
  2. For each volunteer session, add a row with the volunteer's name, the date, the activity or task, and the hours worked (decimals like 1.5 are fine).
  3. Click + Add Entry to add more rows (up to 150), or Remove to delete a row you no longer need.
  4. Click Generate Log to see the total hours across all entries, a per-volunteer breakdown table, and the full detailed log.
  5. Click Download PDF to save a printable landscape PDF that includes both the summary and the full log for your records.

Getting the Most Out of Your Log

Why documenting hours matters

Many grants and nonprofit funders require a record of in-kind volunteer time, and some school districts require documented service hours for parent involvement programs. A running per-volunteer total also makes it easy to recognize your most active volunteers at an appreciation event or year-end award.

Log entries promptly

Add each entry right after the event or shift while the details are fresh. Hours estimated weeks later tend to drift, and a coordinator reconstructing a whole season from memory almost always undercounts.

One log per event vs. one per season

For a single event (a fun run, a book fair), keep one log covering just that day. For an ongoing committee or an entire school year, keep one running log and download an updated PDF periodically so you always have a recent snapshot on file.

Keep volunteer names consistent

The per-volunteer summary groups entries by matching name text, so "Maria Lopez" and "maria lopez " (extra space, different case) are treated as the same person, but "Maria Lopez" and "Maria L." are treated as two different volunteers. Pick one spelling per person and stick with it.

Is anything I type saved or uploaded?

No. Everything happens in your browser only — nothing is uploaded to a server or saved automatically. Download your PDF before closing the tab, or your entries will be lost.

How is each volunteer's total calculated?

The tool groups entries by volunteer name, trimming extra spaces and ignoring capitalization, then adds up the hours from every matching entry. Entries with slightly different spellings of the same name (e.g. a nickname vs. a full name) will not be combined automatically — keep spelling consistent for accurate totals.

How many entries can I log?

Up to 150 rows at once, which is generally enough for a full event or a season's worth of a single committee. For very large programs, consider keeping one log per event or per month instead of one enormous combined log.

Can I use this to verify service hours for school or grant requirements?

Yes — the downloaded PDF is a clear, dated record you can submit or attach as supporting documentation. That said, some programs require a specific form or an authorized signature, so double-check the exact requirements of whoever is requesting proof of hours.

Can I edit an entry after adding it?

Yes. Every field in every row stays editable right up until you close the tab — just click into any input and change it, then click Generate Log again to refresh the summary and detailed table.

Does this track cumulative hours across multiple visits to this page?

No. Since nothing is saved between sessions, keep one browser tab open for an ongoing log, or download a PDF after each session and combine the totals yourself if you're tracking across a long stretch of time.
