How to Use the Time Card Calculator

Enter your clock-in time, clock-out time, and any unpaid break time for each workday. The calculator automatically computes:

  • Daily hours — clock-out minus clock-in minus unpaid break
  • Weekly regular hours — up to 40 hours at your standard rate
  • Overtime hours — hours beyond 8 per day (or 40 per week in states that use weekly-only overtime)
  • Gross pay — regular hours × rate + overtime hours × (rate × 1.5)

Overtime Rules

In the United States, the Fair Labor Standards Act (FLSA) requires overtime pay of at least 1.5× your regular rate for all hours worked beyond 40 in a workweek. Some states (including California, Alaska, and Nevada) also mandate daily overtime for hours beyond 8 in a single workday. Check with your state labor board for your specific rules.

Use No overtime if you are salaried, exempt, or just want total hours. Use 8 hours/day to simulate California-style daily overtime.

Converting Hours to Decimal

Payroll software typically uses decimal hours. The calculator displays hours as decimals (e.g., 7.75 for 7 hours 45 minutes). To verify manually: minutes ÷ 60 gives the decimal portion (45 ÷ 60 = 0.75).

If you need to track when a workday falls on a specific calendar date — for example to calculate a pay-period end date — the work days calculator can count business days between two dates, and days between calculator gives the total day count.

Frequently Asked Questions

Can I use this for flexible work schedules?

Yes. Just leave any days you didn't work blank. The calculator only adds days with both a clock-in and clock-out time filled in.

Does this handle overnight shifts?

Yes. If your clock-out time is earlier than your clock-in time (e.g., start at 10:00 PM, end at 6:00 AM), the calculator automatically adds 24 hours to the end time.

What is the difference between gross pay and net pay?

This calculator shows gross pay — your earnings before taxes, health insurance deductions, and other withholdings. Net pay (take-home pay) is lower after those deductions. Federal and state income taxes, FICA (Social Security + Medicare), and any pre-tax benefits all reduce gross pay.

Is the break time deducted?

Yes. The break minutes you enter are unpaid break time deducted from worked hours. Paid breaks do not need to be entered — only unpaid meal or rest periods.
